Student Document Checklist

A simple checklist for students preparing documents for admission, exams, scholarships, jobs and online forms.

Use this checklist before filling an online form, visiting a cyber cafe, going to a photocopy shop or attending document verification. Final requirements can change, so always compare this list with the official notice or form instructions.

Keep these basic documents ready

Most student applications ask for the same base details again and again. Keep originals safe, keep photocopies in a folder and keep scanned copies on your phone, computer or cloud storage.

  • Aadhaar card or another accepted identity proof
  • Recent passport-size photos with a plain background
  • Student mobile number, parent mobile number and active email ID
  • Previous class marksheets, passing certificate and school or college ID if available
  • Transfer certificate, migration certificate, character certificate or bonafide certificate when required
  • Bank passbook first page or cancelled cheque for scholarship, stipend or refund work

For admission and college verification

Admission offices usually check identity, academic history and category or residence details. Arrange documents in the same order as the admission form or verification slip.

  • Application form printout, allotment letter, fee receipt or registration slip
  • Class 10 and Class 12 marksheets, plus graduation marksheets for higher study
  • Transfer certificate, migration certificate and character certificate if the institute asks for them
  • Caste, income, domicile, EWS or disability certificate only if you are claiming that benefit
  • Gap certificate or affidavit if there is a study gap and the institute requires proof
  • Two or more sets of photocopies for submission and one set for your own record

For exam forms and admit cards

Exam forms are sensitive to spelling, date of birth, photo size and signature format. Check every field before payment because corrections may be difficult later.

  • Name, date of birth and parent name exactly as written on marksheets or Aadhaar
  • Recent photo and signature prepared in the size mentioned in the exam notice
  • Category certificate, PwD certificate or scribe-related documents if applicable
  • Payment receipt, application number, password and registered email or mobile number
  • Admit card printout, original ID proof and passport photo for exam day
  • Exam center address checked in advance, especially for outstation centers

For scholarships and fee benefits

Scholarship forms usually need more financial and bank details than normal admission forms. Small mismatches in name, account number or certificate validity can delay approval.

  • Income certificate for the correct financial year if the scheme asks for it
  • Caste, minority, domicile or EWS certificate based on the scholarship rules
  • Bank account in the student name when required, with IFSC and account number clearly visible
  • Fee receipt, admission proof, bonafide certificate and current course details
  • Previous year marksheet or promotion proof
  • Aadhaar seeding, DBT status or bank linking checked when the scheme mentions it

For internships, jobs and campus placement

Job and internship applications need clean, readable files that show your education and contact details clearly. Keep a separate job folder so you do not mix it with admission papers.

  • Updated resume in PDF format with correct mobile number and email ID
  • Recent photo only when the employer or form asks for it
  • Education certificates, marksheets, training certificates and experience letter if any
  • PAN card, Aadhaar card and bank details for joining formalities
  • Portfolio, project links, GitHub, LinkedIn or work samples when relevant
  • Multiple copies of resume and certificates for walk-in interviews or local job applications

Prepare online upload files properly

Many online forms fail because the file is blurry, too large, wrongly named or in the wrong format. Prepare digital files before you start the form, not after the payment page opens.

  • Scan or photograph documents in good light with all corners visible
  • Crop extra background and rotate pages so text is readable
  • Keep photo, signature and certificates as separate files unless the form asks for a combined PDF
  • Rename files clearly, such as aadhaar.pdf, class-12-marksheet.pdf and signature.jpg
  • Check whether the form wants JPG, PNG or PDF and note the maximum file size
  • Compress or convert files only enough to meet the limit; do not make documents unreadable

Arrange the physical document folder

A tidy folder saves time during verification and reduces the chance of leaving an original document at a counter. Keep originals and photocopies separate.

  • Use one transparent folder for originals and one file for photocopies
  • Place documents in the same order as the checklist or call letter
  • Carry extra passport photos, a black or blue pen and small glue if photos may be pasted
  • Self-attest photocopies only when the instruction says so
  • Write your application number, roll number and login details in a private note
  • Do not hand over original documents unless the institution gives a clear receipt or official process

Final check before submission

Before clicking submit or leaving for verification, spend a few minutes checking details that commonly cause rejection, delay or correction requests.

  • Spelling of name, date of birth, gender and category matches your proof documents
  • Certificate issue date, validity and issuing authority are accepted for the current application
  • Uploaded photo and signature are not swapped, stretched or unclear
  • Payment is completed and receipt or acknowledgement is saved
  • Application number, password and final submitted PDF are stored safely
  • Official instructions are checked again for any document not covered in this general checklist
